OVERVIEW
“Off-limits” serves as an important concept in the recruiting space to avoid potential issues or jeopardize business efforts. Typically, users should avoid actively recruiting a candidate for multiple positions at one time, reach out to a contact about a position if they are an active/recent client or active business development prospect, reach out to a potential candidate that is actively employed by a current client company or a recent client company we have a “Hands-off” agreement with, etc. These actions can negatively impact business and impact an organization or individuals’ reputation.
The “Off-limits” functionality in Ignyte should serve as a mechanism to inform users of contacts in the system that should not be contacted and/or added to a search and why they are considered “Off-limits”. Common “Off-limit” Reasons Include:

The contact is in an “Active” candidate stage on an “Active” Project record

The contact is an “Active” contact on an “Active” Business Development record

The contact has been flagged as a “Close Contact” to another user
-
The contact is currently employed by a “Hand-off” company or division of a company, often a current or recent client company.

Contacts that have been flagged by users do not contact given previous interactions/known concerns, including; providing fraudulent information, criminal records, and other behavior that would remove them from consideration for all future opportunities.
Feature Summary

There are 2 main types of off-limit(s): 1) direct off-limits and 2) inherited off-limits.

Director off-limits can be manually added to a Contact in the system

Inherited off-limits are applied to contacts automatically based on their relationship to a Company record and/or status on a project

Company inherited off-limits are applied directly to a company and then are inherited by the Contact if they currently work for that company

Candidate inherited off-limits are determined by a system-level configuration. Administrators can flag which Project Status and Candidate Status combination should result in an inherited off-limit

Contacts can have multiple off-limit(s) applied at one time

Off-limits can be set to end on a specific date or be applied indefinitely

Off-limits have two severity levels: Soft & Hard

Contacts with any active Hard Off-limits cannot be added to a Project where Contacts with a soft off-limits can be, but will inform the user before allowing them to add them to a Project

Users will be informed of applicable off-limits when performing various activities in the system, such as:

Attempting to add a contact to a project

Changing the status of a contact on a project and/or adding them to the client portal

In the banner of the contact record under the profile picture

In many of the tables as an off-limits column
