Once a candidate is in your pipeline, several AI-assisted tools help you evaluate fit, write outreach, and document assessments — all from within the candidate record.
WRITING AN AI-GENERATED OUTREACH EMAIL
- Open the candidate record → click “Log in Activity”
- Select Email as the activity type
- Click the IGNYTE logo icon (the “A” icon) to the right of the microphone
- Click the dropdown arrow → select “Describe your changes”
- Type: write an outreach email
- Review the generated email — it pulls relevant details from the candidate’s profile to personalize it
- Copy and paste into Outlook to send
- Save the activity so it’s logged on the record

- From candidate record, click “Send an Email” option from Activity log
KEY INSIGHT The system picks out something specific from the candidate’s background to make the email feel personal. Review before sending — it’s a strong starting draft, not a finished product. |
COMPARING A CANDIDATE TO THE JOB DESCRIPTION
- Open the candidate record → click “Log in Activity”
- Select Note as the activity type → mark as Professional Note
- Click the IGNYTE logo icon → open the dropdown
- Type: compare candidate to job description
- The system generates a synopsis of fit based on information available to date
- Make visible on the Hiring Manager Portal or include in candidate reports
KEY INSIGHT The more information in the candidate record, the richer the comparison. As you add conversations to the Journey tab, this assessment becomes increasingly detailed. |
USING THE PERSONALITY TAB TO DOCUMENT STRENGTHS
- Open the candidate record → click the Personality tab (third tab across)
- Click the dark blue “New” button → select “Strength”
- Type manually or prompt the AI: give me five strengths this candidate has compared to the profile
- Review and save
KEY INSIGHT This tab is a time-saver before hiring manager calls. Instead of hunting through activity logs, you get a clean one-page view of everything you know about the candidate. |
UPLOADING A TRANSCRIPT VIA IGNYTE INTELLIGENCE
- Open the candidate record → click “IGNYTE Intelligence” (below “Log in Activity”)
- Upload your transcript file and name it for easy identification
- The system analyzes the transcript against the position profile and job requirements
- Review output for alignment gaps and areas not fully addressed in the conversation

USING THE JOURNEY TAB TO BUILD A CANDIDATE ROAD MAP
The Journey tab takes a transcript or audio file from a candidate conversation and generates a structured, AI-powered road map — covering background, motivation, alignment, gaps, and recommended next steps. It builds on itself over time as you add more conversations.
WHAT THE JOURNEY TAB GENERATES
- Overview — Summary of the candidate’s background and what came out of the uploaded conversation
- Motivation for Career Change — What’s driving the candidate to make a move, based on what they said
- Alignment with the Position — How well the candidate maps to the specific role, evaluated against the position profile
- Life Alignment — Equity interest, culture fit, work style preferences, and other personal priorities the candidate expressed
- Assessment — Detailed evaluation drawing from everything in their record plus the conversation
- Gaps — Specific experience or competency gaps compared to job requirements, flagged whether each gap was addressed in the interview
- Next Steps — Suggested follow-up actions automatically converted into activity log entries and surfaced in your task list
HOW TO CREATE A JOURNEY ENTRY
- Open the candidate record → navigate to the Journey tab
- Click to add a new journey entry
- Upload the transcript or audio file from your candidate conversation (required)
- Optionally include screening notes alongside the transcript file
- Add a friendly name (e.g., “Recruiter Screen – Round 1”)
- Submit — system processes in a few minutes depending on file size
- Download the full output as a Word doc or PDF when complete
KEY REQUIREMENTS
- The Journey tab requires a transcript file or audio file to initiate — typed screening notes alone will not trigger it
- The Journey tab and IGNYTE Intelligence are separate — uploading to IGNYTE Intelligence does not populate the Journey tab
- Tasks generated by the Journey tab appear in your activity log and can be reassigned as needed
- If output doesn’t look accurate, add a note and regenerate — each regeneration creates a new version and you can toggle between them
KEY INSIGHT The Journey tab is the most complete picture of a candidate you can build inside the platform. The gap analysis is especially useful — it tells you not just what’s missing, but whether you already asked about it. The more conversations you add, the sharper the output gets. |
